Position Summary

Under general supervision, assists in maintaining accurate accounting records of Nashville State Community College by processing invoices for student and company accounts, mailing monthly statements and past-due notices when needed, making collection efforts on delinquent accounts, processing accounts for write-off, and maintaining accurate accounts receivable documentation.

Typical Duties and Responsibilities

A. Reconciles the outstanding account balances on the weekly report to individual files maintained, assesses late fees as applicable, and processes collection letters as necessary according to TBR policies and guidelines. This includes tuition and fees, deferred payments, promissory notes, and returned checks and ACH items.
B. Sends monthly statements and past-due notices to delinquent accounts, updating the delinquency code for reporting purposes on the weekly delinquency status report as needed. These may be in either paper or electronic form.
C. Researches Student and Non-Student accounts receivable questions and problems, prepares debit/credit memos to adjust account balances as necessary, and resolves discrepancies between student or company records and the College’s records.
D. Follows TBR and department collection policies and procedures related to collection of outstanding employee receivables (parking tickets, payroll overpayments, etc.) and maintains appropriate files.
E. Assist in preparing year-end accounts receivable information for inclusion in the annual financial statements.
F. Monitor web payments daily for posting in correct semester and prepare correcting entries as needed.
G. Prepares delinquent account information for processing by collection agencies, and updates collection status information for student and company accounts in Banner.
H. Assists in the preparation of a list of delinquent accounts, with proper documentation, for write-off on at least a quarterly basis.
I. Prepares, mails, and distributes invoices for rental of facilities as needed.
J. Ensures compliance with all security procedures of the department; maintains confidentiality of all student and financial records and any other information obtained or accessed as part of the completion of job duties.
K. Processes student payments during Registration period as assigned.
L. Assists in scanning documents to the document imaging system for online access to historical information and in maintaining file copies of invoices.
M. Performs other duties as assigned.

Required Qualifications

A. High school diploma or educational equivalent
B. Must be bondable.
C. Excellent computer skills required: spreadsheet, word processing, cash receipting and/or accounting systems.
