Full-time employees at Southwest work 37.5 hours per week. Benefits include health insurance, annual and sick leave, tuition assistance and retirement. Salary is commensurate with colleges pay scale. Position Summary

Southwest Tennessee Community College is a comprehensive, multicultural, public, open—access college. Southwest began operation on July 1, 2000, through legislation that consolidated Shelby State Community College and State Technical Institute at Memphis. Southwest has 6 campuses/centers from which it offers over 100 programs and over 20 technical certificate programs. This is a full-time permanent, fiscal year clerical, support staff position.

The Secretary 1 acts as personal secretary and performs complex administrative clerical functions.

May oversee, coordinate the flow, or check work of student workers, temporary employees.

Typical Duties and Responsibilities

• Maintains and orders office supplies and other materials as needed.

• Types routine correspondence, reports, work orders, budgets, contracts, and other documents.

• Answers telephone, giving routine information and routing other calls to appropriate person.

• Greets visitors, ascertains nature of business and assists visitor, or conducts visitors to appropriate person.

• Checks reports, purchase orders and such for completeness and correctness.

• Performs various clerical tasks.

• Files correspondence, reports, purchase orders, and other documents according to established procedures.

• Arranges for interviews and meetings and keeps appointment schedule as directed.

• Operates a word processor, computer terminal, microcomputer, or memory typewriter.

• Oversees or checks work of student workers, temporary employees, and/or lower level clerical employees.

• May perform other work as required.

Required Qualifications

High School Graduate or equivalent.

Experience in organizing and maintaining efficient office management

Preferred Qualifications
Knowledge, Skills, Abilities and Work Characteristics

• Knowledge of modern office practices, procedures, and equipment.

• Knowledge of administrative procedures and filing systems.

• Ability to use business English effectively.

• Ability to type accurately from plain copy and from rough draft.

• Ability to calculate arithmetic accurately.

• Ability to establish and maintain effective working relationships.

• Ability to express ideas clearly and concisely.

• Office Management ability.

• Basic Computer skills.

• Excellent oral and written communication skills.
