Position Summary

Provide secretarial support to the Dean and academic division.

Typical Duties and Responsibilities

a.Provide routine and complex administrative clerical support including researching, compiling, and reconciling information for various reports; summarizing documents for supervisor/department staff; establishing and maintaining filing system of various records (financial, statistical, personnel records, etc.)
b.Coordinate events, travel arrangements, appointment schedule
c.Assist faculty and staff with purchases
d.Assist Dean with budget expenditures; balance monthly financial reports; compile and maintain records for annual and revised budgets
e.Prepare and manage adjunct faculty contracts
f.Maintain work flow of office functions and perform general clerical duties such as typing, copying, filing, answering telephone, taking messages, routing calls, greeting visitors, providing appropriate information
g.Maintain supplies and equipment including various forms, service contracts, office supplies
h.Schedule/monitor work of student workers, temporary employees, and/or lower-level clerical employees
i.Promote, support, and participate in student recruitment and retention efforts
j.Provide operational support to department heads and other division professional staff members
k.Perform other job-related duties as assigned

Required Qualifications

a.Education and training: High School Diploma or GED

b.Work experience: Two years secretarial experience

a.Must have a valid vehicle operator’s license.

Preferred Qualifications

a.Associates Degree in Office Administration/Management or closely related discipline from a regionally accredited university or college; demonstrated experience with computer programs (Microsoft Word, Excel, Power Point, and the internet); working knowledge with Banner and eLearn.

Knowledge, Skills, Abilities and Work Characteristics

a.Knowledge: Knowledge of modern office practices, procedures, and equipment; business English; mathematical calculations for rate and percent
b.Skills: Oral and written communication; computer skills (word processing, spreadsheets, data entry); supervision and office management skills; interpersonal skills consistent with establishing and maintaining effective working relationships
c.Abilities: Ability to operate standard office equipment (computer, multi-line telephone, typewriter, printer, fax machine); to present information clearly and concisely; to maintain confidentiality; to organize and manage multiple office functions
